What to include in a group flight enquiry

A clear brief speeds up the first review and reduces follow-up questions. We do not need passports or sensitive documents at this stage — we need the right group context.

The journey basics

Provide the passenger count, indicative dates, preferred departure points and destination. If one or two days of flexibility are possible, state that from the outset because it can materially broaden the options.

  • adult and child numbers
  • departure point and destination
  • fixed or flexible dates
  • purpose of the journey
02

Group composition and names

The group structure is usually sufficient for the initial review. Passenger names are handled later according to the conditions and deadline of the selected option.

Do not send travel documents through the initial web form. A secure transfer method is agreed during the follow-up.

03

Baggage, equipment and transfers

Sports equipment, instruments, bicycles or technical equipment may affect the airline and routing. State the approximate number, dimensions or type of items.

If transfers, accommodation or several departure points are required, include them in the overall brief.

  • checked and cabin baggage
  • special equipment
  • assistance requirements
  • transfers and accommodation
04

Approval and administration

Tell us who approves the proposal, the indicative budget framework and which invoicing documents the organisation needs. Exact group terms, deadlines and payments are confirmed only for the selected option.

Turn the framework into your process.
